Privacy Policy

This Privacy Policy explains how International Business & Economic Solutions (“INTBES”, “we”, “us”) collects, uses and protects personal information when you use intbes.com or contact us through our enquiry, quotation, LOI/ICPO and contact forms. It also explains the rights available to you. Please read it carefully: by using this website you agree to the practices described here.

1. Who we are

INTBES is an international trading company active in oil, petrochemicals, minerals and related investment services. Our registered contact details are published on the Contact page. For any question about this policy or about your personal data, use those details or write to us through the contact form and we will respond.

2. Information we collect

We collect only what we need to answer you and to perform a contract. Depending on which form you use, that can include:

  • Identity and contact details — full name, company name, business e-mail address, telephone number and country.
  • Enquiry and quotation details — the products or grades you ask about, quantities and units, delivery terms (EXW, FOB, CFR, CIF, DAP), preferred frequency, destination port, and anything you write in the message field.
  • Transaction documentation — on an LOI or ICPO we may additionally receive your company registration number, bank details you choose to provide, and any document you attach (limited to PDF, JPG, PNG and Word files, up to 5 MB).
  • Technical data — IP address, browser and device type, the pages you visited and the time of your request. This is generated automatically when you load the site.

We do not ask for, and you should not send, sensitive personal information such as national identification numbers, health data or payment card details through these forms.

3. How we use your information

  • To answer your enquiry, prepare a quotation and continue a conversation you started.
  • To prepare and perform a contract — including issuing proforma invoices, coordinating inspection, arranging shipping and issuing the documents that a cross-border cargo requires.
  • To maintain the security of the website and prevent spam and automated abuse.
  • To meet legal, accounting and record-keeping obligations that apply to an international trading business.
  • Where you have asked for it, to send you information about products or services similar to those you enquired about. You can opt out at any time by replying to any message or by contacting us.

We do not sell personal information, and we do not use it to build advertising profiles.

4. Legal bases for processing

Where the EU or UK General Data Protection Regulation applies to a transaction, we rely on: your consent (for example when you submit an enquiry or tick the contact consent box); steps necessary before entering a contract at your request (for example an LOI); our legitimate interest in running and securing a business website; and compliance with legal obligations (for example trade, tax and sanctions record-keeping). Where another jurisdiction’s law applies, we use the equivalent basis it provides.

5. Cookies and local storage

The site uses a small number of strictly necessary browser storage entries, not advertising cookies:

  • Your light/dark theme preference.
  • Whether you have dismissed the cookie notice.
  • Items you have added to an in-progress enquiry so that your selections survive a page change.

We do not use third-party advertising or cross-site tracking cookies. If analytics or marketing tools are enabled later, this policy will be updated before they run.

6. Spam protection

The enquiry and quotation forms are protected by Cloudflare Turnstile, which checks that a submission comes from a real browser without showing you a puzzle. Verification happens in the background and a token is checked by our server before the message is accepted. Turnstile does not use the verification result for advertising.

7. When we share information

We share personal data only with parties that need it to carry out what you asked for, or where the law requires it:

  • Independent inspection and survey agencies, shipping lines, freight forwarders and terminals.
  • Banks and financing parties involved in a payment instrument such as a letter of credit.
  • Professional advisers, auditors and IT service providers acting under confidentiality obligations.
  • Customs, tax and regulatory authorities where a shipment or record must be declared.

Recipients are given only what they need for their part of the work and are not permitted to use it for their own marketing.

8. International transfers

Trading partners, ports and service providers are located in many countries, so your information will often be processed outside the country where you provided it. Where a transfer is subject to a legal safeguard — such as an adequacy decision or standard contractual clauses — we rely on it. You can ask us for information about the safeguard applying to your data.

9. How long we keep it

  • Enquiries and quotations — up to 24 months after the last contact, so that a returning buyer can pick the thread up without starting over.
  • Contract and shipment records — for the period required by tax, customs and accounting rules, which is generally several years after the transaction.
  • Unsuccessful enquiries — deleted or anonymised once it is clear no transaction will follow.

When the period ends the data is deleted or irreversibly anonymised.

10. Security

Access to enquiry data is limited to staff and service providers who need it. The site is served over HTTPS, is protected against automated abuse, and our storage is protected by authentication and access control. No system is completely secure; if a breach affects your personal data we will notify you and the competent authority as required by applicable law.

11. Your rights

Depending on where you live, you may have the right to:

  • Ask for a copy of the personal data we hold about you.
  • Have inaccurate data corrected, and ask us to complete data that is incomplete.
  • Ask us to delete your data, or to restrict how we use it.
  • Object to processing carried out on the basis of our legitimate interests.
  • Receive your data in a portable format, or withdraw consent at any time — withdrawal does not affect processing already carried out.
  • Lodge a complaint with your local data protection authority.

To exercise any of these, use the contact details below. We may need to verify your identity first, and we will reply within the period the applicable law sets.

12. Children

This website is directed at businesses and professional buyers, not at children. We do not knowingly collect personal information from anyone under the age at which they can consent on their own. If you believe a child has provided data to us, contact us and we will remove it.

13. Third-party links

Our pages may link to the sites of partners, carriers or regulators. Those sites operate under their own privacy policies, which we do not control. We encourage you to read them before providing any personal data.

14. Changes to this policy

We may update this policy when our practices, services or legal obligations change. The latest version is always published on this page with its revision date. Material changes will be highlighted here.

15. Contact

Questions about this policy or about your data can be sent through the contact form. Please write “Privacy” in the subject line so that your message reaches the right person.
